Ecosystem and knowledge flow
Your tools and agents work with one shared memory instead of many separate ones. This page explains where knowledge lives, who can see it, and how it gets in.
One Brain per company, three levels
Every company has one Brain. Inside it there are three kinds of memory:
- Personal brain: What belongs to one person only. Their notes, their meetings, their drafts. Nobody else sees it, not even an administrator.
- Team brain: What a team shares. One team brain exists for every team (collection) in your organisation, and its members read and write it together.
- Company brain: What the whole house knows. Everyone in the organisation can read it.
Agents have their own experience brain on top of that, so they can learn from their work. What an agent may read follows who it works for: a personal agent reads its owner's knowledge, a team agent the team's, a company agent the company's.
What the tools write
Labs (for example SummarizeLab, LeadLab, SignatureLab) and Beyondles HorAIzon do not copy their raw material into the Brain. They do not send the full recording, the whole mail thread or the complete PDF. They write the result: a decision from a meeting, a fact about a customer, an agreed date.
Each entry knows where it came from. You can see which tool wrote it and which object it belongs to, for example a particular meeting.
Where an entry lands depends on its source. A private meeting ends up in the personal brain of its owner, a meeting shared with a team in the team brain, an organisation-wide object in the company brain. A tool never writes higher than the object it works on.
Proposals and confirmation
What a tool or an agent writes is a proposal. Proposals do not count as knowledge yet and do not show up in answers for other people. The owner of the brain reviews them in an inbox and can confirm, edit or reject each one:
- Personal brain: the person.
- Team brain: any member of the team.
- Company brain: an administrator of the organisation.
Proposals nobody looks at expire after 30 days and are then treated as rejected. Rejected entries are deleted after another 30 days.
A tool or agent always sees its own proposals, so it can keep working with what it just wrote.
Hard facts confirm themselves
Some events are not a matter of opinion. When a contract is signed, an appointment is booked, or a deal is won or lost, the entry is confirmed immediately. These events come from the tools themselves (SignatureLab, BookingLab, LeadLab) and carry a clear event name. Everything else waits for a person.
Anything a person writes about themselves, by voice, by hand or in the Suite, is confirmed from the start.
Sharing upwards, by the person
Knowledge moves up one level only when a person decides so. From the personal brain a person can share an entry with a team or with the company. The person must be a member of the target brain, and tools and agents cannot share on their own.
Sharing creates a read-only copy that remembers its original. If the original is edited or deleted, the copies follow. The person who shared, the owner of the original and the administrator of the target brain can remove the copy from that brain again.
Deletion follows the product
Deleting something in a tool also removes what that tool wrote into the Brain, including all shared copies. If you delete a meeting in SummarizeLab, its decisions leave the Brain with it. If a team is deleted, its team brain is deleted. If a person leaves the company, their personal brain is deleted by default, or handed over as a whole to a colleague if the administrator chooses that.
No limit on entries
There is no cap on the number of entries in your Brain on any plan. The only limit that remains is the cost ceiling of your platform account.
